Perse AI Assistants is a service provided by The Perse School for teachers and staff in The Perse School and its family of schools. It lets authorised staff chat with AI assistants about the Perse educational approach. This notice explains what information the service handles.

Your conversations are not stored

• The text of your chats exists only in your browser tab. When you close the page or start a new chat, it is gone. If you want a copy, use Download transcript or Print / PDF; that copy is yours to look after.
• To answer you, each message (with the earlier messages in that chat) is sent to Google's Gemini AI service (Google Cloud Vertex AI). Google does not use it to train its models. Google may hold it in a temporary memory cache for up to 24 hours to make follow-up messages faster and cheaper.
• If web search is switched on in a chat, the assistant may send search queries based on your message to Google Search, and Google keeps those search-related prompts for up to 30 days. You can switch web search off at the top of any chat that offers it.
• We never log the content of messages.

Please don't share personal information

The assistants are for professional, educational questions. Please do not enter personal or sensitive information about pupils, parents or colleagues.

What we do keep

• School accounts: username, school name, which assistants the account may use, a securely scrambled (hashed) password, and when the account last signed in.
• Administrators: Google account email address and name, and when they last signed in. Administrators sign in with Google, which shares only their name and email address with this service.
• Usage counts: for each account and assistant, the number of chats, messages and web searches, the amount of AI processing used (tokens) and its estimated cost, kept as monthly totals so we can manage costs. These counts never include what was said.
• Administrator activity log: changes made in the admin console (for example "added a knowledge file"), kept for one year.
• Security: failed sign-in counts (to lock out password guessing) and hourly message counts (to prevent misuse), kept for no more than two days.

Cookies

We use a single essential cookie to keep you signed in. It expires after 12 hours (8 hours for administrators) or when you sign out. We do not use analytics, advertising or tracking cookies. The administrator sign-in page uses Google's sign-in service, which sets its own cookies.

Where information is held

The service runs on Google Cloud. Account and usage information and the assistants' knowledge files are stored in Google's London data centre. The web service runs in Google's Belgium data centre. AI requests are handled by Google's global Gemini service. Google acts as our data processor under its Cloud data processing terms.

Your rights and contact

You can ask to see, correct or delete information held about your account. School accounts and administrator access can be removed at any time by an administrator. To make a request or ask a question, please contact the Perse team who gave you access.
